Purpose of the community meeting

To present a practical and affordable proposal for improving the cleanliness, landscaping, security and access conditions of the SBT Apartments compound, for discussion and approval by the 14 tenants.

Lawn & compound management

A dedicated lawn worker mows at least weekly, edges walkways, keeps the bin area clean, manages hedges and fence lines and handles scheduled weed and pest spraying. Monthly allocation: TZS 200,000 plus TZS 50,000 fuel.

Waste management & dust bins

The existing collection service continues at TZS 280,000 per month, with suitable dust bins and a clean, enclosed waste point at an estimated one-time cost of TZS 660,000.

Gate access & concrete road transition

Kifusi, filling and levelling works create a smoother, safer transition between the gate and the concrete road, estimated at TZS 300,000, inspected and agreed before payment.

CCTV / security lighting

Three CCTV / security lights at agreed points, prioritising entrances and access routes, at an estimated TZS 750,000.

Selcom Lipa Number / wallet

A dedicated community wallet, a treasurer plus a second authorised tenant for significant payments, retained receipts and a simple monthly statement shared with all 14 households.

Scope of work

Formal lawn worker duties

The Lawn Worker is responsible for the overall maintenance, cleanliness and neat appearance of the compound. These duties are what the TZS 200,000 monthly wage plus TZS 50,000 fuel allocation pays for — set out in full so every household can see exactly what is being funded.

Lawn maintenance

  • Mow all lawn areas at least once every week using the sit-on lawn mower.
  • Keep the grass at a uniform and neat height at all times.
  • Edge the lawns along walkways, driveways and building lines for a clean finish.
  • Remove grass cuttings and dispose of them properly after every mowing session.

Trash bin cleaning & surrounding areas

  • Thoroughly clean the trash bins, inside and outside, on a regular basis.
  • Sweep, wash and keep the area around the bins free from litter, stains and bad odours.
  • Ensure the wooden enclosure remains tidy and presentable.

Trash collection management

  • Coordinate and oversee the collection of household trash from all tenants.
  • Ensure trash is properly sorted and placed in the designated bins ready for collection.
  • Supervise the emptying of bins on collection days and confirm the area is left clean afterwards.
  • Report any issues with collection schedules or overflowing bins immediately.

Fence tree & hedge management

  • Maintain all fence-line trees, hedges and shrubs.
  • Prune and shape them regularly into a neat, uniform and attractive living fence.
  • Remove dead branches, overgrown sections and any plants obstructing pathways or the gate.
  • Keep the fence line clear of weeds and unwanted growth.

Pesticide & pest management

  • Carry out scheduled spraying of the compound for weeds, insects and other pests.
  • All pesticides, herbicides and related chemicals are purchased by management/tenants; the Lawn Worker only handles application.
  • Apply chemicals safely and correctly, with minimal risk to residents, pets and the environment.
  • Maintain basic records of spraying dates and areas treated.

Additional expectations

  • Perform all duties diligently, punctually and to a high standard.
  • Report any damages, security concerns or maintenance needs observed while working.
  • Maintain a neat personal appearance and handle equipment, including the sit-on mower, with care.
  • Work cooperatively with tenants and management at all times.

These duties are intended to keep the entire compound clean, secure, green and well-presented throughout the year.
